Day Rule Glossary

Day rules are the 'building blocks' for shifts, and govern working parameters on any given day. Below is a comprehensive list of Day Rule options and settings, intended as a reference when creating and configuring Shifts to the needs of your business.

Paid Hours and Overtime

Day Start Used to define the start of the Shift, e.g 09.00. Employees clocking after the Day Start will trigger the late start flag if the late start feature is in use. Employees clocking before the Day Start will be rounded to the Day Start. If employees occasionally start earlier than the Day Start, consider using the Overtime Before function.
Day Finish Used to define the end of the Shift, e.g 17.00. Employees clocking out before this time will trigger the early finish flag if this feature is in use. If employees regularly clock out before the Day Finish, consider using the Allow Early Clock out function. 
Overtime Before Used to determine whether to pay employees who clock in before the Day Start. Employees clocking in prior to the Overtime Before time will be paid, while those clocking in afterwards will be rounded to the Day Start. For example: with an Overtime Before of 08:30 and a Day Start of 09:00, employees clocking in before 08:30 would be paid, while those clocking in between 08:30 and  09:00 would be rounded to 09:00. 
Overtime Starts (After Shift) Set in minutes. Used to determine whether to pay employees who clock out after the Day Finish. Employees clocking out after the Overtime Starts time will be paid, while those clocking out before will be rounded back to the Day Finish. For example: with an Overtime Starts of 30 and a Day Finish of 17:00, employees clocking out after 17:30 would be paid, while those clocking out between  and 17:00 and 17:30 would be rounded back to 17:00. 
Paid Absence Hours Used to determine the standard number of paid hours in a working day. If paid hours are not standard, enter 00.00 in this field. IT MUST NOT BE LEFT BLANK
Paid Absence Hours are also used to determine the number of hours to assign to a paid absence.
Minimum Period to Work Before Overtime Starts Used to determine the minimum number of hours in a day an employee must work before qualifying for overtime. This field can generally be left blank, as the  Hours to Pay at Rate X fields essentially serve the same purpose.  
Hours to Pay at Rate 1 Governs the number of hours to pay at your standard rate. If you only have one rate of pay we recommend setting this field to '23:59' to ensure all worked hours are captured. 
Hours to Pay at Rate 2...3...4...5 Governs the number of hours to pay at various overtime rates if daily overtime (as opposed to weekly overtime) is in use.  Regardless of how many overtime rates are used, the sum total of all Hours to Pay fields should not exceed 24:00, as demonstrated in the screenshot below. 
Expected Number of Attendance Clockings Used to determine the minimum number of times an employee would be expected to clock (in and out) during a shift. This field is only referenced if the Check for Min Hours Worked and Min Number of Clockings box is ticked. If your employees clock for breaks, be sure to account for these additional clockings when using this field.
Check for Min Hours Worked and Min Number of Clockings If ticked, ClockRite will flag an exception if an employee works fewer than the amount of Paid Absence Hours in a day and/or makes fewer than the Expected number of attendance Clockings. We generally recommend that this option is left unticked unless you specifically wish to track these things.

Breaks 

If all staff always manually clock in and out for breaks you do not need to use either of the following options. If staff sometimes manually clock breaks consider using the Deduct Break feature to account for those who do not clock manually. If your staff do not manually clock breaks please use only one of the following options to avoid duplicating break deductions

In all cases we recommend ticking the Allow Flexi Breaks box. This allows breaks to be clocked at five minute intervals around the hour, instead of rounding to every quarter hour. 

Auto Clock Break Automatically inserts an unpaid break between two specified times. This feature can be set to trigger after a minimum number of worked hours using the Min Hrs to work field. In the below example an out clocking would be inserted at 13:00 and an in clocking would be inserted at 13:30 if an employee works 6 hours or more on that day. Do not use if Deduct Break is active.
Deduct Break Automatically deducts a specified number of unpaid minutes from worked hours on conclusion of a shift. This feature can be set to trigger after a minimum number of worked hours using the Min Hrs to work field. If some employees clock for breaks but others do not, use the Max clockings option to disable the break deduction after a certain number of clockings. For example; if Max clockings is set to 2, a break will not be deducted automatically for employees clocking 3 or more times in a day.

Grace & Roundings, Lates & Absence Flags

In Clockings (Grace & Rounding Minutes) Used to determine the Grace Minutes and Rounding on IN Clockings. Grace defines the number of minutes after the Day Start time that an employee is classed as late. If an employee exceeds the number of Grace Minutes, Rounding Minutes will determine where their clocking will be rounded to. In the example below, any employees clocking in more than 3 minutes after the 09:00 Day Start will be classed as late and rounded to the next 15 minute interval - or 09:15. If you wish to see the exact minutes worked, set both Grace and Rounding to 1. 
Out Clockings (Grace & Rounding Minutes) Used to determine the Grace Minutes and Rounding on OUT Clockings. Grace defines the number of minutes before the Day Finish time that an employee is classed as having clocked out early. If an employee clocks out before the Grace Minutes period, Rounding Minutes will determine where their clocking will be rounded to. In the example below, any employees clocking out more than 3 minutes before the 17:00 Day Finish will be rounded back to the previous 15 minute interval - or 16:45. If you wish to see the exact minutes worked, set both Grace and Rounding to 1.
Flag Record When: Tick these options if you would like the ClockRite Software to display a Flag in the  Time & Attendance Screen when an employee is Absent, Late starting, or Early finishing. Late Starts and Early Finishes are defined by the Day Start and Day Finish times, and also take into account any Grace Minutes you have set. For example: with a Day Start of 09:00 and 3 Grace Minutes employees clocking in after 09:03 would be classed as late.

Time Bands and Night Shifts

Time Band Payments Allows the payment of overtime rates between specific times regardless of overtime rules. For example: Rate 2 between 17:00 and 20:00. If times are entered into the Starts At and Finishes At fields, the pay rate must be between 1 or 5, never blank or 0. 
If Night Shift, Calculate Daily Overtime from Midnight If ticked, ClockRite will calculate daily overtime from midnight if the Day Rule in question runs overnight. We generally recommend that this be left unchecked.
