Generating Reports in the ClockRite Software

ClockRite contains a comprehensive suit of reports covering various data sets. Reports can be printed or exported as needed

Correct Reports are dependant on complete and accurate Time & Attendance data. For this reason, we recommend checking T&A data and rectifying any errors or inconsistencies before running Reports, particularly when reporting on total hours and pay data

Generating Reports

1. Access Reports by clicking the 'View/Print Reports' button on the top toolbar. 

2. Select the Report you wish to generate from the 'All Available Reports' drop-down. Reports can be filtered by date, group (department), and by individual Employees if necessary. 

3. Once you have selected and filtered your desired Report it can be previewed using the preview icon on the bottom toolbar, or printed using the printer icon. 

4. When previewing a report, use the navigation arrows in the top left corner of the screen to move between pages

Decimal Time vs Hours and Minutes

Many of the reports in the ClockRite Software use decimal time as opposed to hours and minutes. If you're unsure how to interpret decimal time on your reports, click here for an explanation.


Adding Reports to Favourites

1. Favourites allow you to find your most commonly used Reports more quickly by adding them to a separate list. To add a Report to Favourites, select it from the list of 'All Available Reports' and click the '+' icon. 

2. Favourite Reports can then be found in the 'Favourite Reports' drop-down. To remove a Report from Favourites, select it from the list and click the 'X' button. 


Commonly Used Reports

Some of the most commonly used Reports include:

Clockings and Hours:  A comprehensive breakdown of the Time & Attendance screen by Employee
Hours and Gross Pay (Summary):  A concise breakdown of hours worked and accumulated pay over a specified date range
Today's Clockings:  An at-a-glance review of the day's Clockings
Absence by Calendar View:  A calendar summery of all Absences
Holiday Status:  A breakdown of holidays taken and remaining holiday allowance by employee


Exporting Reports

1. Reports can be exported using the 'Envelope' icon on the top toolbar of the preview screen

2. We recommend using Excel 7.0 (XLS) for all MS Excel exports (useful for transmitting data into another system), and Rich Text Format if you wish to export a report in a format that closely resembles the preview (useful for emailing).

3. Once you have selected your export Format, choose 'Disk File' from the second drop down box and save the file to a convenient location on your PC. 

4. When opening a file saved in Excel 7.0 (XLS) Format you may see an error message similar to the one below. Simply click OK and the document will open.

5. Alternatively, if you have a pdf writer installed on your PC you can set this as your default printer and use it to save reports directly to pdf format using the printer icon. 


Troubleshooting Reports

Incorrect Hours/Missing Clockings Most commonly caused by incorrect or incomplete T&A data. Check relevant employee's clocking records in the  Time & Attendance Screen, and be sure to correct any 'Uneven Clockings' flags
Blank page when previewing a Report Sometimes the first page on a generated report is blank. If you see a blank page, simply click on the navigation arrows in the top left of the screen to move on to the next page

Error 515 Suggests that an employee's name has been entered into the Software in an unsupported format. Check all records and ensure each has a first name and a last name (Adam Apple, or an initial and a last name (A Apple)
Error 94 Suggests that a mandatory field within the Software has been left blank. Check each employee's Basic Rate of Pay and Holiday Entitlement, and ensure that all Day Rules have a Day Start, Day Finish, and Overtime Starts (after shift) value. This error can also occur if a Group (Department) has been created with no name 
Error 41 Also suggests that a mandatory field has been left blank. Ensure all Day Rules contain a value for Paid Absence Hours and the Pay Rate under the 'Time Bank Payments' section is set to a number between 1 and 5, not 0.

Explanation Of All Reports

Today's Clockings:  A comprehensive breakdown of the Time & Attendance screen by Employee for the current day. Perform a clock download to ensure data is current.
Clock Readings:  Shows actual clocking times against their rounded equivalents. Also displays where clockings have been amended or manually inserted.
Clocks Used by Employee:  Shows which clocking terminals employees have used to register attendance clockings, if multiple clocking terminals are in use.
Clocks Used by Clock:  Shows clockings made at each clocking terminal, if multiple clocking terminals are in use.
Clockings and Hours:  A comprehensive breakdown of the Time & Attendance screen by date
Clockings and Hours (Individual):  A comprehensive breakdown of the Time & Attendance screen by employee
Attendance Exceptions:  Show where employees are Late, Finish Early or are Absent, if relevant shift settings are enabled.
Late and Absent:  Shows only where employees are either Late or Absent.
Hours and Gross Pay:  A daily breakdown of hours worked and accumulated pay over a specified date range.
Hours and Gross Pay (Summary) :  A concise breakdown of hours worked and accumulated pay over a specified date range
Paid Hours (Inc Absence) Summary:  Shows a summary of hours (and overtime) including any holiday, paid sickness, or other absence types
Paid Hours (Exc Absence) Summary:  Shows a summary of hours (and overtime), but excludes holidays, paid sickness, and other absence types from the total.
Paid Hours (Inc Absence) Summary (Excel):  An exportable version of the “Paid Hours (Inc Absence) Summary” report.
Lieu Time Worked / Taken:  For use with customers that utilise the Lieu Time function.
Cash Payments:  Shows any cash payments that have been recorded against employees
Employees:  A detailed breakdown of each employee, showing ID number, Shift Groups, Pay Rates, Overtime Rule, Holidays left and other items
Absence (Calendar View):  A calendar summery of all Absence.
Holiday & Sickness Planner:  A new report (software version 4.0.291 or higher) showing colour coded absences .
Holiday Planner :  A new report (software version 4.0.291 or higher) showing booked holidays 
Absence By Date :  A list view, by date, showing booked absences
Absence By Employee:  A list view, by employee, showing booked absences
Holiday Status:  A breakdown of holidays taken and remaining holiday allowance by employee
